How to Invite Users to Your Organization
Follow these steps to invite new users to your organization:
- Navigate to the organization page you want to add the user to and click Users tab.
- Click the Invite users button.
- Enter a valid email address in the email field.
- Select a role for the user (Admin or Member) from the dropdown menu.
- Click the + button to add another user to the invite list, or click Send invitations to send the invitation immediately.
- Repeat steps 2-4 to invite additional users if needed.
- Click Send invitations when you're ready to send all pending invitations.
Note: Invited users will appear in the Invited table with a status of "Pending user accept" until they respond to the invitation.
How to Bulk Invite Multiple Users
You can invite multiple users at once by pasting a list of email addresses:
- Copy a list of email addresses to your clipboard (use Ctrl+C or Cmd+C).
- Click the Invite users button to open the invitation dialog.
- Click inside the email field in the dialog.
- Paste the email addresses from your clipboard (use Ctrl+V or Cmd+V).
- Review the summary message showing how many users were added and how many were skipped.
- Select a role (Admin or Member) for the invited users.
- Click Send invitations to send all invitations.
Important: If you don't have enough available licenses, some users may be skipped. The system will show you how many users couldn't be added due to missing licenses.
Managing Pending Invitations
View and manage users you've invited in the Invited table:
How to Change an Invited User's Role
- Navigate to the Invited table under the Users section.
- Right-click on the invited user you want to modify.
- Select the new role (Admin or Member) from the context menu.
Note: The invited user will see the updated role when they view the invitation.
How to Remove an Invitation
- Navigate to the Invited table under the Users section.
- Right-click on the invited user.
- Select Remove invitation from the context menu.
Note: The invitation will be removed from the list, and the user will no longer see the invitation on their projects page.
Managing Project Invitations for Approval
When users request to join your organization through a project, you can review and approve or reject their requests:
How to Approve a Project Invitation Request
- Navigate to the Project invitations for approval table.
- Right-click on the user you want to approve.
- Select Approve from the context menu.
Note: The user will be added to your organization with Member role permissions.
How to Reject a Project Invitation Request
- Navigate to the Project invitations for approval table.
- Right-click on the user you want to reject.
- Select Reject from the context menu.
Note: The request will be removed from the approval list.
Managing Active Users
Manage users who have accepted invitations in the Users table:
How to Change a User's Role
- Navigate to the Users table.
- Right-click on the user whose role you want to change.
- Select the new role (Admin or Member) from the context menu.
Note: The user's permissions will be updated immediately based on their new role.
How to Archive a User
- Navigate to the Users table.
- Right-click on the user you want to archive.
- Select Archive user from the context menu.
Note: The user will be moved to the Archived users table and will no longer have access to the organization.
Note: Archived users will see a message stating "You no longer have access to this organization, please contact an admin of the organization" when they try to access it.
Managing Archived Users
View and restore or permanently remove archived users:
How to Restore an Archived User
- Navigate to the Archived users table.
- Right-click on the user you want to restore.
- Select Restore from the context menu.
Note: The user will be moved back to the Users table and will regain access to the organization.
How to Permanently Remove an Archived User
- Navigate to the Archived users table.
- Right-click on the user you want to remove.
- Select Remove from the context menu.
Warning: This action permanently removes the user from the organization. They will not be able to access any projects, even with a direct URL.
Common Error Messages
- "Please enter a valid email address" - The email address format is incorrect. Check for typos or formatting issues.
- "Email is already added to the invite list" - This user is already part of your organization or has a pending invitation.
- "X user(s) added. Skipped: X duplicate email(s), X invalid email(s)" - Some emails from your bulk invite were not added due to duplicates or invalid formatting.
- "X user(s) added. Skipped: X missing license(s), X duplicate email(s), X invalid email(s)" - You don't have enough available licenses to invite all users.
